Experience & personnel
Proposals live or die on demonstrable track record. The Experience library keeps your firm’s past projects and your people’s CVs in one place, ready to drop into a bid.
Two libraries
- Company experience — past projects your firm delivered: title, client, sectors, countries, contract value, dates, your role, outcomes, and keywords.
- Personnel — expert profiles (CVs): expertise, languages, education, and a history of project assignments.
Both are searchable card lists. Expand any card to see everything held on that record — the full description and outcomes, every assignment, and attachments — with an Edit button at the top of the expanded view. Personnel can be linked to the projects they worked on, with file attachments accessed via secure, time-limited links.
Importing references and CVs
Rather than retyping reference sheets and CVs, you can import them. Both libraries offer two routes, and either way you review and edit every record before it is saved.
Upload a CSV (no AI)
The basic route needs no AI provider and works on any plan. It accepts a CSV that matches a fixed set of columns:
- Download template gives you the exact header row plus a worked example. Fill it in or map your existing spreadsheet onto those columns.
- Multi-value cells (sectors, countries, keywords, expertise, languages) hold several values
in one cell separated by a semicolon, e.g.
Transport;Infrastructure. - Dates use ISO format
YYYY-MM-DD; contract values are plain numbers with a separate 3-letter currency code. - For CVs, each expert’s project history uses row multiplicity: write one row per assignment and repeat the person’s profile columns on each of their rows. People are grouped by name, so their assignments are gathered back into a single profile on import.
When you drop the file in, it is validated on the spot — the importer confirms the columns are right, reports any rows it had to skip (and why), and tells you how many records are ready. Unrecognised columns are ignored rather than blocking the import.
Bring your own AI transformation. If your source data is messy, click Show formatting prompt to copy a ready-made instruction you can paste into any external AI assistant along with your data. It returns a CSV already shaped to the template, so the upload validates cleanly without Bidderops needing an AI provider of its own.
Extract with AI
If you have an AI provider configured, you can instead upload or paste a document (PDF, Word, or text) and have the model extract the records — company references from reference lists or project sheets, or expert profiles from CVs including each person’s assignment history. Extraction is faithful to the document, flags likely duplicates, and runs as a persisted job so you can navigate away while it works.

Exporting references
You can select company experience and export it — as a spreadsheet by default, or mapped into your own Word/Excel/PDF template, with AI assistance to fit your fields.
Capability Match
Recorded experience only wins bids if it reaches the bid team at the right moment. On any open opportunity’s Competitive Edge tab, the Capability Match panel puts your library to work against that specific tender.
When you run it, Bidderops first ranks your recorded references and experts by how well they fit the opportunity — overlap on sector and country, with keywords from the opportunity title breaking ties — and shows each match with a relevance score and the reasons it surfaced. It then asks your configured model to judge capability fit (strong, partial, or weak), name concrete strengths and gaps, and recommend which experts and references to feature.
The panel only appears when your plan includes the Experience library. If nothing in your library overlaps the opportunity’s sector or country, the panel says so and points you back here to add the missing track record — no AI call is made.
Generate a capability annex
The matched experts and references come pre-selected from the AI’s recommendation, and you can adjust the checkboxes. Generate annex (Word) then produces a ready-to-edit document with a Project References section and a Key Personnel section (each expert’s summary, key facts, and assignment history) for the items you chose.
